Use three times, not one date
Separate the time suppliers can enter, the time facilities must be ready, and the time the property must be cleared. A Saturday gathering can require access before and after Saturday itself. Put these windows into the request so transport and the rental period can be discussed on the same basis.
Give the event a sanitation contact
Nominate somebody who can answer placement questions and deal with service needs while the organiser is busy. That person should know the agreed equipment, contact details and collection arrangements. If the guest layout changes after booking, tell the rental contact before positioning seating, tents or vehicles around the originally selected restroom area.
Attendance assumptions and changes to the event plan
Specify what attendance means
Ticket sales, simultaneous attendance and the number of staff on site are different figures. Explain turnover and concentrated breaks rather than supplying only a total. Ask how those patterns affect the proposed quantity, accessible provision and cleaning. Any recommendation remains dependent on the actual programme and installation.
Keep changes in one place
Record the accepted equipment, date window, service details and contact person. Tell the rental business about a revised event length, entrance or audience. Confirm changes instead of assuming a form resubmission replaces an existing booking. Do not post gate codes or personal contact details in public page links.
